PRIVACY STATEMENT

Article 1: Introduction

  1. ‘We’, ‘us’ or ‘our’ means the private company with limited liability ‘MICE Operations B.V.’, registered at Saksen Weimarplein 6 in (4818 LD) Breda (Ch. Of Comm.: 61737380) (further herein: ‘MICE Operations’). 

  2. Our websites www.miceoperations.com and jobs.miceoperations.com (further herein: ‘Website(s)’) is owned by MICE Operations and is managed and hosted by BEER N TEA B.V., with its registered office and principal place of business at Saksen Weimarplein 6 (4818 LD) in Breda. 

  3. In this privacy statement, we explain how we handle the processing of (your) personal data in connection with your visit to our Website and its subdomains (further herein: ‘Privacy Statement’). We ask you to read this Privacy Statement carefully. For the processing of personal data relating to our services, please refer to the agreement you have concluded with us. 

  4. MICE Operations feels very strongly about your privacy and we process your personal data carefully and in accordance with the General Data Protection Regulation (‘GDPR’). 

  5. If you have any questions, comments or complaints as a result of reading this Privacy Statement, or if you want to know which of your personal data MICE Operations has, or if you want to have them removed or transferred, you should send your request to: info@miceoperations.com.

Article 2: Data we process of visitors to our Website(s)  

  1. The following personal data are processed by MICE Operations:

a. Personalised information: your first name and surname, e-mail address, telephone number and other personal data actively provided by you to us in a job application process, for example your CV, cover letter or e-mail message containing personal data. In addition, we process personal information for creating a (trial) account on our Website such as your first name and surname, country of origin, user name, e-mail address and telephone number.
b. Contact details: if you use a contact form on our Website, you will be asked to provide the following information: first name, surname, e-mail address and telephone number. If you use our chat system, you will be asked to provide your e-mail address. In addition, via the contact form and the chat system, we also process the personal data you enter yourself in the free box/in the chat messages you send (please do not use sensitive information here). This is information that is actively provided by you.
c. Usage information: we process personal data with regard to your use of our Website(s): IP address, device ID and type, reference source, language settings, browser type, operating system, geographical location, duration of visit, page visited, or information regarding the timing, frequency and pattern of your visit. This information is automatically collected through your use of the Website(s). In the event that such usage information is anonymised (and therefore not traceable to you as a natural person), then the respective information is not covered by this Privacy Statement.
d. Personal data collected through social media channels: we process your personal data when a direct connection is made between your browser and the social media channels Instagram, LinkedIn and/or YouTube via the plug-in you click on. These plug-ins collect your user ID, the fact that you visited our Website, as well as the day and time of your visit to our Website and other browser-related information.

Article 3: For what purposes do we process your personal data?

1. The personal data we collect through our Website(s) will only be used for the purposes for which it was provided, namely:

a. Personal information and contact details: in order to keep you informed of developments and updates with regard to (offers by) MICE Operations by sending a (news)letter;
b. Personal information and contact details: in order to contact you if you have approached us by phone or e-mail with a question or request;
c. Personal information and contact details: in order to create a (trial) account for our Website;
d. Personal information and contact details: to keep you further informed on how your job application is progressing, if you have sent us an open job application or responded to a vacancy;
e. Personal information and contact details: (if your job application is not directly selected) retaining these personal data for possible future vacancies, if your profile matches the activities of this affiliated company.
f. Contact details: in order to respond to your request if you use a contact form (such as the contact form to make an appointment or request an online demonstration) or the chat system on our Website.
g. Usage information: in order to support the Website(s) and improve your user experience on our Website(s). This purpose extends to monitoring the security, availability, health and (performance) capability of our Website(s);
h. Personal data collected through social media channels: in order to create more visibility for our social media channels, easily redirect you to our social media channels and allow you to share our content on your social media channels. In this connection personal data are passed on to the respective social media channels. You can find more information on this in Article 7 of this Privacy Statement;
i. All categories of personal data: in order to enforce or comply with rights granted under applicable legislation (such as bringing a legal action, putting up a defence against a legal action or for reasons to obtain evidence) if necessary. We may also use your personal data to comply with legal obligations, such as the obligation to keep proper accounts (invoicing).

2. The legal bases for processing your personal data are:

a. Your consent.
b. Our justified interest, amongst other things, for:
   i. responding to your requests to us through e-mail, by phone, through a contact form or the chat system on our Website(s) or responding to your job application;
   ii. being able to offer better services on our Website(s) and being able to improve your usage experience;
   iii. keeping you informed of equivalent services and offers relevant to you, where you have previously been in contact with us about a vacancy or our services.  
c. The necessity to comply with a legal obligation resting on the controller in the event of processing of personal data within the meaning of Article 3(1)(i) of this Privacy Statement.

Article 4: How long do we store the personal data?

1. Personal data will not be kept longer than is necessary in order to serve a specific purpose. In this connection MICE Operations set the following periods:

a. if the personal data you provide through the contact form, the chat system, by phone or by e-mail results in us entering into cooperation with you, your personal data will be retained as stipulated in the agreement concluded with you. If your request is answered, and no further action is taken, we will delete your personal data after one year at the most and will not retain it any longer.
b. if your personal data are used for the purpose of supporting our Website(s), such personal data will not be used for longer than as stipulated in the Cookie Statement (Article 7 of the Privacy Statement);
c. if your personal data are used in connection with your job application, then - should we decide not to employ you - we may retain your personal data for a period of four weeks in order to contact you further if a vacancy becomes available. With your consent, we may retain your personal data for a period of one year for this purpose. The reason for this is that your specific profile or knowledge remains of interest to MICE Operations in the future in connection with future vacancies.
d. if your personal data are processed in order to comply with our legal obligations, these personal data will not be retained for longer than is provided for in, and in accordance with, the respective applicable legislation.  

Article 5: Your rights as a data subject 

1. With regard to (the processing of) your personal data, you have the right:

a. to view your personal data as well as certain additional information regarding the processing of your personal data as set out in this Privacy Statement and to request a copy of your personal data;
b. to the rectification of your personal data;
c. the right to restrict the processing of your personal data;
d. the right to object to processing (certain) personal data;
e. to submit a request for deletion of your personal data;
f. to submit a request for transfer of your personal data to a third party; and
g. if the legal basis for processing your personal data is your consent, you have the right to withdraw your consent at any time.  

2. If you want to exercise one of your rights, you can do this by sending your request to: info@miceoperations.com. We will endeavour to respond to your request without unreasonable delay, but in any event within a period of one month from receipt of your request. If we are unable to respond within the one-month period referred to and wish to extend the period, or if we will not comply with your request, we will notify you of this within one month.

Article 6: Provision of personal data to third parties

1. MICE Operations will not transfer your personal data to third parties, unless it is necessary for our justified professional and business purposes in order to comply with requests from visitors and/or if required or permitted by law or by virtue of professional regulations. This includes:

a. Usage information: We rely on service providers to support and manage the Website(s). In connection with support and management, these service providers may have access to your personal data stored on the servers of such service providers or in certain applications, but only if this is necessary to support or manage the Website(s).
b. All personal data: We may be required to provide your personal data to third parties in order to comply with our legal obligations. 

2. Our websites may contain links to third-party websites, which may have different privacy and cookie policies than us. We are not responsible for the collection, processing or disclosure of personal data collected through such other websites. We recommend that you review the privacy statements of other websites that you may access through our website.

3. In some cases, MICE Operations will transfer personal data to external companies outside the European Economic Area (‘EEA’) working with us or on our behalf for the purposes set out in this Privacy Statement and, where applicable, a specific privacy statement, for example if you use our chat system on our Website(s). MICE Operations may also store personal data outside the EEA. In this case, your personal data will remain protected by means of contracts we have concluded with the respective organisations outside the EEA that contain appropriate measures to protect transfers to these third countries, for example standard data protection clauses approved by the European Commission.

1. Cookies are small text files that are automatically placed on your computer, tablet or mobile phone when you visit our Website(s). Third parties, such as Google, can provide third parties with this information if they would be legally obliged to do so, or insofar as third parties are processing the information on their behalf. This is beyond our control. Our Website(s) contain(s) the plug-ins of certain social media channels through which personal data, as mentioned in Article 2.3. h) of this Privacy Statement, are processed and transferred to these social media channels. Together with the social media channels we therefore determine the purpose and means of this processing of personal data, consisting solely of collecting and providing your personal data to these social media channels by means of transmission. Only the relevant social media channel will be responsible for processing personal data after transfer. When using the plug-ins on our Website(s), you should be aware that your personal data may be transferred to recipients outside the EEA. Article 8: Security

1. MICE Operations has implemented both technical and organisational measures to secure and protect your Personal Data against destruction, loss, alteration or unauthorised disclosure or access. MICE Operations meets all the requirements of ISO 27001 certification.
